We are seeking an Administrative Assistant to serve as the first point of contact for Anderson Engineering while providing comprehensive administrative and operational support. This role ensures the efficient day-to-day functioning of the office by managing front desk responsibilities, maintaining office operations, and supporting key internal processes such as licensing, invoicing, and event coordination. You’ll play a vital role in creating a welcoming, professional environment that supports team productivity and enhances the overall client experience.

Join our Team as an Administrative Assistant
We are seeking an Administrative Assistant to serve as the first point of contact for Anderson Engineering while providing comprehensive administrative and operational support. This role ensures the efficient day-to-day functioning of the office by managing front desk responsibilities, maintaining office operations, and supporting key internal processes such as licensing, invoicing, and event coordination. You’ll play a vital role in creating a welcoming, professional environment that supports team productivity and enhances the overall client experience.
Key Responsibilities:
- Serve as receptionist by answering phones, greeting visitors, and managing front desk operations.
- Monitor administrative emails and route inquiries, including website and voicemail messages.
- Process incoming/outgoing mail and coordinate deliveries (FedEx, UPS, courier).
- Maintain cleanliness and organization of lobby, kitchen, and common areas; restock supplies.
- Coordinate meetings, events, and Lunch-N-Learns, including scheduling, attendance, and catering.
- Assist Office Manager with invoices, licensing tracking, renewals, and administrative projects.
- Reconcile company credit cards and support sales tax tracking.
- Maintain confidential employee records and file Certificates of Insurance.
- Manage office and kitchen supply inventory and place orders as needed.
- Maintain office equipment and coordinate repairs or supply needs.
- Coordinate company apparel orders and employee onboarding setup.
- Provide general administrative support, filing, and employee recognition efforts.
- Assists other departments and employees as necessary.
- Performs related activities as directed.
- High School Diploma or GED.
- 1-3 years of administrative, receptionist, or office support experience.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and general office systems.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Ability to prioritize and multitask.
- High attention to detail.
- Ability to handle confidential information.
- Basic knowledge of office equipment operation and troubleshooting.
